Refund & cancellation policy

Eligibility overview

Refunds depend on whether advisory work has started, whether a deposit reserved a call slot, and how much notice you give before a scheduled session.

Full refund

You may receive a full refund of fees paid if you cancel in writing before we begin document review or hold the first scheduled call, and no custom timeline draft has been delivered. Requests should arrive at least 48 hours before the first reserved session.

Partial refund

If work has started—for example, we have reviewed your contract draft or issued a partial timeline—we may refund the unused portion of the engagement fee after deducting time already spent at the quoted rate. Deposits that secured scarce call slots within seven days of the session may be retained in part to cover preparation already completed.

Non-refundable items

Government application fees, translation invoices paid to third parties, and attorney retainers you pay separately are never refundable through us. Completed single-session products (such as a finished interview prep session) are non-refundable once the session has occurred.

Timeframe to request

Refund requests should be sent within 14 days of the event giving rise to the request (cancellation, dissatisfaction with undelivered scope, or billing error).

How to request a refund

Email info@aioptimizeddev.digital with your name, engagement date, invoice reference if available, and reason. We confirm receipt within two business days and outline the proposed refund amount.

Processing time and method

Approved refunds are processed within 10 business days to the original payment method where possible. Bank processing times may add several days beyond our transfer.

Cancellation and rescheduling

You may reschedule a planning call once at no charge with at least 24 hours’ notice. Later cancellations or repeated no-shows may forfeit the deposit for that session. We will propose a new slot within a reasonable window.

No-shows

If you miss a scheduled call without notice, that session counts as delivered for fee purposes. We may offer one courtesy reschedule at our discretion.

Work already started

Once written annotations or a relocation timeline draft have been sent to you, that portion of the engagement is considered delivered. Remaining unused sessions may still be refunded or credited as agreed in writing.

Deposits

Deposits reserve time and initial preparation. They are applied to the final invoice. Unused deposits follow the full or partial refund rules above.

Exceptions

If we cancel an engagement for reasons attributable to us and cannot offer a suitable alternative date, you receive a full refund of amounts paid for undelivered work. Mandatory consumer rights under German law remain unaffected.
